The menus are straightforward
& familiar to users of Microsoft Office software.
The
Forms Menu enables users to enter, reconcile, post
& find transactions. It also provides ready access to
contracts, ledgers, the assets register & budget maintenance.
& to simplify matters further, system management duties including database backups
& adding new users can be carried out readily by non-technical staff.
The Reports Menu provides access to the Knowledge Base (see below)
& to reports used by Project Management, Donors, Government, procurement officers, accountants, etc.
Web-based technologies deliver:
up-to-the-minute information at the push of a button
the ability to drill down through reports on your screen
pivot tables
& charts that enable comprehensive analysis on demand
The
Integrity Check: Reconciliations enables management to confirm quickly that financial records have been maintained in an accurate
& timely manner & are capable of providing reliable reports.
The Integrity Check: Co-Funding enables management to confirm that expenditure complies with the co-funding arrangements of the project
& helps identify individual transactions that are in error.
This type of facility is particularly necessary for projects in which certain expenses are shared in an agreed proportion between Donor(s)
&/or Government.
Project Maintenance simplifies the maintenance of project components
& their associated accounting codes.
The project's plan is likely to comprise major deliverables (projects or components)
& sub-deliverables (products or activities). This hierarchy is recorded in AidProject FMS to provide on-going reports of expenditure
& future forecasts against the overall budget.
Associated accounting codes can be copied between components simplifying the setup
& later maintenance should the plan be amended.
